The role of the Training Coordinator is to support the smooth and timely rollout of the UBS Training Program for the Learning & Development (L&D) UBS Training Team. Specifically, the Training Coordinator will work closely with the Program Manager and Program Coordinator with logistical, administrative and/or technical support during the course of the UBS Program. The Training Coordinator should:

  • Be able to multi-task across multiple projects and disparate tasks as needed.
  • Be comfortable embracing new and existing technologies used in the L&D function.
  • Be willing to learn these technologies as needed when they pertain to the coordinator’s responsibilities.
  • Be able to work with a diverse group and communicate with various levels of management.

UBS Training Program Administrative Support

Administration

  • Provide analysis of program evaluation results and participant training reports and make recommendations on changes to focus of training. Examples of analysis include identifying trends in the method and materials used for the training and how it is perceived by the learners. Additionally, identification of trends with instructors is required in order to determine any additional support needed to ensure the quality of the instruction.
  • Communicate recommended changes to the program manager and subject matter experts and ensure that the training documentation is accurate and up to date. Recommendations include changes to materials in terms of content and/or medium of delivery. Additionally, it is expected that they will identify any gaps between the current delivery and the current state of the content so that we can ensure the instructors are using the most current versions of the training.
  • Provide analysis and feedback on program materials. Proofread and edit where necessary.
  • Oversee the enrollment and scheduling processes for the training sessions: eLearning, Virtual Instructor Led (vILT) and Live Instructor Led Training (ILT).
  • Gather and compile attendance for training sessions.

Logistics

  • Evaluate training needs at multiple locations across the United States and Canada and make recommendations to the Program Coordinator. The analysis requires strong customer service skills as they will be gathering information about possible training venues within each location’s limited space and then determining which venues are most appropriate for the deployment training. This can be very disruptive to a location’s internal operations and, as a result, requires strong negotiating skills as well.
  • Determine the optimal training venues for each location’s deployment.
  • Determine the most efficient training schedule for each role (Service, Office, Production) for each location’s deployment.

Technical Support

  • Provide regular maintenance to the different programs used to store, deliver and track trainings.
  • Support online portion of the program using SharePoint: set up site and users, upload program documents, etc.
Qualifications

Experience

  • 0-2 years of experience in administrative support and/or customer service is preferred
  • Strong written and verbal communication
  • Strong interpersonal skills
  • Demonstrable critical thinking skills
  • Highly organized and prioritizes effectively
  • Detail oriented
  • High level of self-motivation and desire to grow in the role
  • Intermediate computer software skills in Microsoft Office applications including Power point, Word and Excel.
  • Working knowledge of SharePoint and Microsoft Teams is preferred.
  • Basic knowledge of administrative support tools: PCs, photocopiers, fax machines, scanners, overhead projectors, etc.

Education

  • Bachelor's Degree or equivalent work experience in a related field required.
