HR Administrative Assistant

This position provides all administrative and clerical support to the corporate department heads and employees under the Engineering umbrella, Fleet Management and Environmental. These functional departments provide guidance and support throughout all UniFirst locations in North America. Responsibilities of this role will provide various administrative needs such as data collection and entry, preparing reports and presentations, processing invoices, communicating to all field locations, answer phone calls, etc. This person will report directly to the Manager of Engineering Administration.

The responsibilities of this position include, but are not limited to, the following:

  • Provide support to managers and employees, assist in daily office needs, and manage company general administrative activities.
  • Processing all invoices including auditing, resolving discrepancies, tracking and payment.
  • Collect and enter data in various internal and external databases. Ensure accuracy and data integrity.
  • Provide training and support when needed to improve compliance and understanding.
  • Analyze data and develop reports, presentations, and spreadsheets.
  • Assist in managing department projects and budgets.
  • Write and distribute email, correspondence memos, and surveys.
  • Assists other Admins in Engineering during vacations or whenever other areas are short-handed.
  • Assist in developing policies and processes.
  • Provide ideas and process flows to improve compliance and mitigating risk.
  • Develop your skill sets in learning fleet and environmental compliance.
  • Performs other job-related duties as assigned.
Qualifications

This position requires the following:

  • Associates degree or greater or at least 5 years of administration experience
  • Corporate administrative experience is preferred
  • Must have excellent written and oral communication as well as customer service skills
  • Ability to work within a Team
  • Basic knowledge fleet management and DOT regulation is preferred
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, SharePoint)
  • Ability to understand and interpret data
  • Strong financial and analytical skills
  • Must be detail oriented, organized and be able to prioritize a multi-task position
