2605452UniClean, a specialized division of UniFirst Corporation, provides cleanroom cleaning and garment services to the pharmaceutical, biotech, semiconductor, electronics, and other controlled environment industries. Our specialized services help customers maintain the strict cleanliness and contamination-control standards required in these critical environments.
We are looking for an Office Administrator to play a key role in the day-to-day operations of our UniClean location. This position supports a broad range of administrative and operational activities, including customer accounts, financial processes, employee administration, and the location management team. Working closely with Team Partners, customers, vendors, and leadership, the Office Administrator helps ensure the location runs smoothly and efficiently.
Responsibilities
• Manage daily office activities and administrative workflow while providing support to the location management team.
• Perform Account Management System (AMS) responsibilities, which may include entering orders, processing customer maintenance, following up with customers, verifying new accounts, and providing administrative support.
• Communicate with internal and external customers by phone and in person, helping address questions and escalating issues to the appropriate member of management when needed.
• Support the Location Manager with human resources activities, including maintaining confidential employee files and required employment records and logs, and performing payroll-related duties as required.
• Manage purchase orders for quality and non-quality related purchases for the location.
• Support financial activities including processing and submitting invoices for approval and payment, maintaining vendor files, customer billing, posting checks and deposits, and ordering general office supplies.
• Manage accounts receivable and collection activities, working toward established aging targets for accounts over 30, 60, 90, and 180 days.
• Help coordinate and direct the workflow of office staff and support other administrative and operational needs as assigned.
What We’re Looking For
• High school diploma or equivalent experience required.
• 2–4 years of related administrative, office, or business experience preferred.
• Strong organizational, communication, and time-management skills.
• Comfortable communicating with Team Partners, customers, vendors, and members of management.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Access.
• Comfortable learning UniFirst systems and computer applications.
• Strong written communication skills, including preparing reports and business correspondence.
• Comfortable working with financial information and performing calculations involving discounts, interest, commissions, percentages, and other business-related figures.
• Demonstrated discretion when handling confidential information.
• Strong organizational skills with the ability to manage multiple priorities and support the workflow of an active office environment.
• Comfortable sitting and/or standing for extended periods, up to approximately eight hours.
